I (have) had the custom in ministry, to wear a figurative "ammunition belt" to meetings. So, for instance, for a Church Meeting I would write my regular Pastoral Report, check the business at hand, familiarise myself with past minutes ... and consider whether any issue past or present might be simmering, even if it might go back years. Then I would make sure that I had the "ammunition" to deal with it.
OBSERVATION: This, I think, should not be viewed negatively. The purpose is to prevent spanners in the works of a great undertaking: the Church.
